Using automation to accurately update clients fields will help with your targeting as well as help facilitate timely follow-up. Field update actions let you automatically update a field value. You can associate field updates with workflow rules, approval processes, or entitlement processes.
Updating Client records various fields as a result of any corresponding set of Event(s) is what is needed to mark the progress of each individual Client/ Lead records. This Event may be after Payment gets failed or Payment is successful. As of now, updating client fields has to be done manually, and for each client individually or by Mass Update option.
With the need of an hour, a new automation action of 'Update Data Fields' has been introduced along with current existing actions Emails, SMS, Portal Message, Create Task, Portal Access On/Off and API Action.
Real Time Use Case:
- If Payment is successful, Update the status to "Top Priority to process"
- If agreement is signed, Update the Folder to "On-boarding Initiated"
- If required docs are uploaded, Update Folder to "Awaiting Monitoring Information"
- If Monitoring info is added, Update Folder to "Ready for Processing"
- If New portal message from client portal, Update status to "Un-answered Portal Message"
- If New SMS reply from client, Update Status to "SMS reply received"
- If Payment Failed , Set Folder to "Payment Failed"
With this feature..
Suppose, you have set an automation that will trigger when any Invoice Payment gets
Successful. You would then want to update any of the Field Setup of that particular client
like for example Folder, Status, Process, Processing Issue then as of now you had to perform this action manually. And it is really excruciating to perform these set of actions manually for each individual client record!
It is now possible to automate these action as well with the new action 'Update Data Fields'. You can use it just like any other existing available Actions.
Update Data Fields Action Configuration:
Once you choose 'Update Data Fields' action it opens a popup to configure this action;
There are total 8 clients fields which you can update which are Customer Type, Assigned To, Google language, Sales Representative, Status, Folder, Process and Processing Issue.
Along with this system defined client fields, 'Field To Update' this dropdown will also populate 'Custom Fields' if they are added within the company.
